Shoot-Day Backup: A Mac Routine for Offloading Camera Cards Safely

A concrete, repeatable shoot-day routine for copying a camera card to one external drive, making a second copy, verifying both, and only then reformatting the card. It distinguishes Finder operations from GJ File Manager steps, and explains how to handle external drive status, folder comparison, and same-name conflicts without risking the only copy of your footage.

Why a routine matters: the card is still the master

On a shoot day, the camera card is the only original. A copy is not a backup until it has been verified on a separate drive. The goal is to offload to one external drive, make a second copy, confirm both copies are readable and complete, and only then reformat the card. This article uses Finder for ordinary file operations, and GJ File Manager for inspecting external devices, comparing folders, and handling conflicts when a copy destination already contains files with the same names. Keep the card untouched until both destinations have been checked.

Before copying: check the external drive’s status

Connect the first external drive and let the Mac mount it. In Finder, note the drive’s name and whether it appears. A drive can be readable but not writable; its filesystem, mount state, and permissions matter as much as the file manager. With GJ File Manager, use the external-device area to inspect the drive before starting a copy, with visible progress. Check its name, format, and writable status. Open a small destination folder to confirm access. Then copy a sample file, wait for completion, and open the destination copy to be sure it is readable. If the drive is NTFS, writing depends on system support and configuration; not every attached NTFS disk is automatically writable. If a copy fails, first confirm the task has stopped and check the destination, then safely eject rather than treating a partial file as a backup.

Offload the card to the first drive, then make a second copy

Create a clearly named folder on the first drive for this shoot and card. Use Finder or GJ File Manager to copy the card’s contents into that folder. Watch until the task completes; do not judge success by the appearance of a file icon alone. When the first copy finishes, connect the second external drive and repeat the check: name, format, writable status, small-folder access, and a sample file if needed. Copy the same card contents to a separate folder on the second drive. Keep both destination folders distinct so you can compare them later. Do not reformat the card yet.

Compare the two copies before trusting either one

Names such as final and final-revised do not explain what changed, and two folders can look complete while differing in contents. With GJ File Manager, select the two folders and use the configured Compare shortcut (default ⌥⌘D). Inspect missing, different, and matching items, checking both paths. For supported text files, inspect the text differences. Viewing differences and executing synchronization are separate steps; review the result before choosing an operation. If synchronization is needed, back up first and confirm its direction and mode, because mirroring can remove destination-only content. Not every sync mode simply adds missing files. The aim here is confirmation, not repair: if the two copies match, the card can be reformatted. If they do not, keep the card and investigate.

Handle same-name conflicts without discarding work

A new client draft can have the same name as yesterday’s file without containing the same work. Replacing immediately may discard a revision you still need; repeatedly pasting makes the destination harder to understand. When GJ File Manager shows a conflict during a copy, it offers Replace, Keep Both, and Stop. Read the source and destination paths in the prompt. Choose Keep Both when you need both versions; choose Stop if you cannot assess the batch. After completion, locate the original and the newly named copy and preview each. Keeping both needs extra space and later organization. A newer modification date does not prove correctness, and replacement is not an unconditional backup. Keep Both does not merge documents; it preserves separate files with distinct names and does not interpret or merge edits inside them. Apply a choice to all conflicts only when the same rule genuinely fits them.

Eject and reformat only after verification

After both copies exist and the comparison shows no missing or different items, eject each external drive through the system and disconnect it. Only then reformat the camera card in the camera. If any step is uncertain — a failed copy, a conflict you could not resolve, or a comparison that shows differences — keep the card as the master and do not reformat. The routine is deliberately conservative: one drive, a second copy, a verified comparison, and only then reuse of the card.
